Registering Products and Advancing Stages

View the current stage of a product from planning to launch all on one screen. Set stages, assign owners, and advance products to the next stage while obtaining necessary approvals.

Key Concepts

Stages

This is the product stage location indicating where a product currently is. Each stage consists of a Name (customizable) and a Stage grouping (fixed).

4 Stage Categories

Stage names can be changed freely, but the starting location and approval conditions for new products always operate based on the stage categories. Changing the stage name does not change how it operates. At least one of each category (Start, In progress, Complete) is required, so the last remaining stage cannot be deleted or have its category changed.

The timing of when label applications open is independent of the stage category. It is determined separately by checking Opens label requests for each stage in the product stage editor, and in the default settings, it is checked only for stages in the Complete category. The conditions are summarized in Requesting and issuing labels.

When creating a Workspace, the following default stages are automatically configured. They can be modified, added, or deleted as needed.

Stages with required approvals

If you set Required approvals for a specific stage, that stage becomes a "stage with required approvals." In a stage with required approvals, all requested approvals must be completed before you can move to the next stage. If any remain, that stage appears inactive in the stage movement list with the reason Current-stage approval needed attached.

  • The conditions are satisfied by two judgments: Approved and Conditionally approved. Revision requests and rejections do not satisfy them.
  • Moving to a previous stage (reverting a stage) can be done freely without required approvals.
  • Once all approvals are finished, select the next stage in the product details to move. The system does not move it automatically.
  • When it is time to choose, that product surfaces in To-do as Pick the next stage (only for users who can move it).
  • IP Provider approvers can move to any stage without this condition. Only the completed stage remains an exception. Project operators can move stages, but the conditions still apply.

When you register a product, the required approvals linked to each stage at that time are created one by one as approval items for that product. If you add required approvals after registration, items are created for existing products as well, and if you release them, only items that have not yet been requested disappear. Requested items remain as they are because they are review history.

Product status

Product status cannot be changed directly. It is determined automatically based on stage movement.

There are only these two states. Products that need to be paused are moved to the On hold stage.

Once finalized, the product cannot be deleted. If you move it back to a non-completion stage, the status will also revert to Draft.

"Current status" chips in the list

This is different from the Product stages (DraftΒ·Finalized) right above. The Current status column in the product list and Board cards shows who the product is currently waiting for.

Earlier-stage approvals There are unfinished required approvals remaining in a previous stage. That count appears together on the chip, placed side-by-side with the above chip

The same product appears with a different chip depending on who is viewing it. A product waiting for approval appears as Approval needed to the approver, and as IP provider reviewing to the Partner who requested it. This is designed so that each person can easily check only the tasks they need to do.

Products with a previous-stage approval chip attached can request the pending approval right from that spot. There is no need to roll back the stage. When this chip is present, Nothing waiting does not appear β€” because if the two stood side-by-side, they would be read conflictingly.

Person in charge

You can assign multiple persons in charge to a single Product. Persons in charge are designated from among the active project members of the company to which the Product belongs, and their roles (sales, planning, production) can be set as well. When designated as a person in charge, you will receive stage change Notifications.

Management Codes and Emojis

When registering Products, Code is automatically generated. It is not duplicated within the same project and is used for identification and copying on the detail screen. Additionally, Notion-style emojis can be displayed on Product cards.


How to use

Partner Perspective

Product Registration

  1. Go to the project and click the Products tab.
  2. Click the Add Product button.
    • There must be an active contract and at least one Approved planning linked to that contract. If not, a guide message appears.
  3. Select the planning (only approved plannings are displayed in the list). The contract is automatically linked from the planning.
  4. Enter the product name, category (multiple selections possible), emoji, description, images/files, etc.
  5. When you Save, the product is automatically placed in the first stage of the Start division. Even if you change the stage order, the starting position is fixed by division, so it does not change.

Moving Stages

  1. Check the current stage on the product detail page.
  2. Click the stage chip to open the Move stage list and choose the stage to move to. Selecting one brings up a confirmation window, and canceling returns it to the original stage.

Assigning Persons in Charge

  1. Click Add person in charge in the property area of the product detail page (visible only to internal administrators).
  2. Select from the project members of your company and assign a role (sales, planning, production).
  3. Assigning or unassigning a person in charge is reflected on the board card in real time.

Switching List, Board, and Assignee Views

You can switch between three views using the tabs at the top of the product list.

The last selected view is remembered for each project (maintained even after applying search/filters).

View Assigned Items Only

Turning on the Mine only button next to the view switching tabs displays only the products where you are assigned as the person in charge (displayed only on the Partner side).

Search and Filters

  • Search: Integrated search for product name, management code, description, messages, and assignee name/email.
  • Filters: Can narrow down by category, stage, planning, contract, person in charge, and registration date range.

Messages

You can leave messages on the product detail page and notify specific members using @mentions. Stage change history is also displayed as a system message in the message timeline.

IP Provider/Operator View

Product Approval

  1. Check the approval area on the product detail page.
  2. If required approvals are set up, click the Approved button.
  3. Once approval is complete:
    • When all approvals for the current stage are met, the "Next stage" dropdown and move button appear.
    • The default value of the dropdown is the next stage in order. If you need to change the order, select another stage to move.

Editing Project Product Stages

  1. Click Edit product stages in the header of the project's product list page (exclusive to Project operators and administrators). Product stages in the left project menu also leads to the same screen.
  2. In the stage list:
    • Add stage: A row is added to the end of the list. Set the name, stage category, color, required approvals, and label issuance start in that row.
    • Edit name, category, color: The stage name can be changed at any time (behavior is based on the stage category so it remains unchanged).
    • Change order: Drag the right handle to move the row.
    • Delete: Clicking the delete button marks that row for deletion. The last row of the start, in progress, and completed categories has the button disabled.
  3. Changes on this screen are applied all at once only when you click Save. Deletions are also executed upon saving.
  4. If there are products in the stage to be deleted, a confirmation screen appears upon saving, showing what goes where, and then proceeds to Move and delete. Products are moved to the immediately preceding stage.
  5. Stages with remaining approval items or stage movement history are not completely deleted but moved down to Archived stages and removed from the list.
  6. Edited product stages are immediately reflected only in the products of this project.

Editing Workspace Default Templates

To change the default stage configuration for the entire workspace:

  1. Go to Workspace Settings β†’ Product stages tab.
  2. Add, edit, or delete the default stage list.
  3. Changes apply only when creating new projects. Stages of already created projects do not change.

Status and Rules

Stage transition rules

Direction Condition
To the next stage All required approvals for the current stage must be completed (or immediately if there are no required approvals). You are free to skip intermediate stages. IP Provider approvers can move it without this condition
To the completed stage Approvals for all preceding stages must be completed. The IP Provider is no exception either β€” since completion is the final stage, placing it here leaves no room to request remaining approvals again
To the previous stage No restrictions
To on hold It is out of sequence, so it can be added and removed at any time

The reason why it cannot be moved to completed appears together on the screen. If that approval is not required for this Product, removing the item from Stage and approval settings will open it up. Details: Configure stages and approvals

There are three people who can move stages: a Partner member of a project with their own products, an IP Provider approver, and a Project operator. Only the IP Provider approver can bypass mandatory approval conditions, while the Project operator can move stages but still remains subject to the conditions.

Delete Products

Only Products with the status Draft can be deleted. Products that have been finalized or have a history of Label issuance cannot be deleted.


Check products in progress on the dashboard

In the Products in progress area of the Workspace home (dashboard), you can check the status of products for all projects you participate in at a glance.

  • Partner: Products where you are assigned as the person in charge
  • IP Provider: Products where you are the approver

It displays products from multiple projects together in order of recent updates. They are not grouped by stage because stage names differ for each project.


Common issues / Precautions

The Add Product button is disabled This happens when there is no active contract or no approved concept linked to the contract. You must first create a concept and get approval from the IP Provider before you can register products. (Refer to Upload concepts and get approval)

Cannot move to the next stage If the current stage requires mandatory approvals, all required approval types must be met before you can move forward. Check the product detail page to see which approvals are still pending. (Refer to Request and review approvals)

Dragged a card on the Board, but it returned to its original position This happens when the mandatory approval for the current stage is not yet complete, or when a card is dragged to a completion stage while approvals from earlier stages are still pending. The card will return to its original position and a notification message will be displayed.

Reached the completion stage, but cannot request labels Simply reaching the completion stage does not automatically open label requests. Label issuance must be turned on in the contract terms, and mandatory approvals for all preceding steps among the stages checked as Opens label requests in product stage editing must be completed. (Refer to Request and issue labels)

Cannot delete a stage At least one stage must remain for each of the start, in progress, and completion categories, so the delete button is disabled for the last remaining row in those categories. You can delete it by creating another stage in the same category. Stages containing products will be moved to the immediately preceding stage through a confirmation screen upon saving and then deleted, but the very first stage cannot be deleted since there is no preceding stage to move to.

Modified the Workspace template, but the changes are not reflected in existing projects This is the intended behavior. Workspace template changes only apply to new projects created thereafter. Stages in existing projects must be edited directly within those projects.
